Conference Center Policies and Procedures

  1. The Conference Center at LKSC is available to any entity of the Stanford Medical Center, to include the School of Medicine, Stanford Hospital and Lucille Packard children’s Hospital, Stanford University and any other entity affiliated with or sponsored by the previously mentioned institutions.
  2. Reservations for Paul Berg Hall ABC made be made as far out as a year as long as the events are either between 8:00 am and 5:00 pm, or between 6:00 pm and 10:00 pm.
  3. Reservations for Paul Berg Hall A, B, or C made be only made 6 months in advance.
  4. Reservations during overlapping times (i.e. 4:00 pm – 7:00 pm, or 5:00 pm to 8:00pm) may only be made 3 months in advance, or else the space needs to be booked for the full day fee.
  5. Poster Sessions or Receptions may only be set up in the Foyer area if the entire Hall is reserved for the same group, or the other rooms are not occupied the day of the event.
  6. All initial inquiries and reservation requests should be made using the online form or through an events management team member in the Conference Services Department at 650-725-6884 or via e-mail at cateringatlksc.

Cancellation Policy

The following schedule will apply for cancellations of the event space:

Timeline for cancellation Client's Responsibility
1 year or more out 50% of anticipated cost
Within 1 year of the event date 100% of anticipated cost

Set up

  1. Foyer
    1. The low seating furniture in the Foyer shall not be moved.
    2. No posters, print outs or materials of any kind may be attached to the walls, wooden panels or windows. Please use easels or free standing devices for this purpose.
    3. All event materials and any additional furniture rentals must be removed from the Foyer immediately after completion of the event, and the space shall return to the original set up and look.
  2. Paul Berg Hall
    1. The A/V Podiums in the room may only be moved by authorized personnel.
    2. Clients will have access to the reserved space up to one hour prior to the event start time. Clients must vacate the meeting space no later than 30 minutes after the event’s reserved end time.
    3. No posters, print outs or materials of any kind may be attached to the walls, wooden panels or windows. Please use easels or free standing devices for this purpose.
    4. Unless the same event continues and the room has been reserved for a 24hour hold, all event materials must be removed from the meeting room immediately after completion of the event and the space shall return to the original setup and look.
